We are looking for an Administrator Associate to join our remote team and keep our operation running smoothly. This is a detail-oriented role that requires someone who sees what needs doing and does it, without waiting to be asked.
What You Will Do
You will manage calendars and logistics for a remote consulting team serving high-level agricultural clients. You will be the connective tissue between our consultants, clients, and internal operations, anticipating needs and solving problems before they become problems.
Your day-to-day responsibilities include managing Google Calendar across multiple team members and client schedules, vetting and following up on meeting requests, scheduling calls and events with precision, and preparing our team for client engagements. When a client call is coming, you will create meeting agendas, handle pre-call communication, and ensure everyone walks in prepared.
You are also responsible for managing Google Drive and Sheets to keep our files organized and our data accessible. If something is broken or unclear, you identify it and propose a solution. You do not bring problems. You bring answers.
What We Need From You
You must be proficient in Google products, particularly Calendar, Drive, and Sheets. You need to understand how calendars work across time zones and how to keep complex schedules coordinated. Bonus if you are already familiar with HubSpot, Quo, Double, or Ignition. If not, you are resourceful enough to learn new software quickly using YouTube, TikTok, or whatever resources get you up to speed fast.
You are a self-starter. You see the next step without being told what it is. When a meeting request lands in the inbox, you vet it, confirm it belongs on the calendar, follow up with necessary parties, and get it scheduled. You do not wait for permission or instruction. You work at a quick pace. We move fast, and we need someone who can keep up and anticipate the next move before it becomes urgent.
You are organized, reliable, and detail-oriented. Names matter. Dates matter. Links matter. You get them right. You have strong written communication skills and understand why an Oxford comma belongs in a list. You can pick up the phone and make calls without hesitation. You are comfortable in Slack channels and Slack huddles, where much of our team communication happens.
You are flexible and willing to fill gaps where they appear. If the team needs something done and you can do it, you do it, even if it is not technically in your job description. We operate with a startup mentality. Everyone contributes beyond their defined role when the moment calls for it.
You have good communication skills and a professional demeanor. You interact with high-level clients and senior leadership on behalf of Empire Ag. You represent us well.
You are proactive about learning our systems and our business. You understand that agriculture is not hypothetical for us, and you approach your work with the same seriousness we bring to our clients.

This is an hourly position. We are fully remote. You will work with a small, sophisticated team that values competence and follows through.
